Job Description
The responsibilities of the Administration Officer is to focus on the day-to-day duties necessary to support and manage the academic student experience through the partnership with AFG College and The University of Aberdeen from registration through to graduation. The Administrative Officer, working alongside the AFG Student Hub Team, will carry out a varied portfolio of duties associated with undergraduate and postgraduate student-related academic administration in these areas. The Administrative Officer will work closely with Registry colleagues in Aberdeen to ensure close alignment of activities relating to the academic student journey. In addition, the administrative officer will provide support to the Director of Studies, including the clerking of relevant meetings as necessary.
- Administrative Officer for undergraduate and postgraduate students at the Qatar Campus. This will entail liaison with relevant stakeholders, including students, academics and any external bodies, ensuring an efficient service is provided.
- The post-holder will become familiar with the University’s Degree Regulations, providing the Schools and students with relevant regulatory advice and guidance on the interpretation of Regulations. Also provide help, advice, guidance and support to students regarding requests such as: course (module) changes, withdrawal, suspension, extension, change to full time or part time study, transferring degrees, readmission and study abroad.
- Student Progress Monitoring throughout teaching, and the Summer Progress Exercise. The latter is where the Administrative Officer is responsible for dealing with progression of students from one year to the next. This exercise involves interpreting students’ individual course results, to see how they fit within the Regulatory framework for their degree, assigning a progression decision and providing guidance/support to students regarding their progression to the next year. Following the resit results the same exercise is repeated.
- Within the regulatory framework qualifying students to graduate for the summer and winter graduation ceremonies and in-absentia graduation thereafter and giving appropriate advice to those who do not qualify at that time.
- The post-holder will ensure students are registered – supporting MyCurriculum / Online Registration queries and tracking that students have completed registration within appropriate timelines;
- Providing Infohub-style academic support to students
- Support the Director of Studies including Clerking of meetings and providing other administrative support duties which may include note taking, committee management as required.
Skills
- Broad knowledge of general HE issues and sound understanding and awareness of developments in higher education
- At least 1 year’s experience of working in student and academic administration in HE, dealing with a broad range of student issues, with ability to provide detailed professional advice and guidance to others
- Engage in continuing professional development/training to keep knowledge and skills up-to-date
- Knowledge of the requirements of the Data Protection Act and the implications of this in regard to the work of the Registry
- Awareness of the implications of the Disability Discrimination Act,Equal Opportunities and other legislation in regard to ensuring that all students and staff receive fair and equal treatment
- Knowledge of and adherence to the University’s Health and Safety and Equal Opportunities policies/procedures
- Ability to understand requirements of students and academic staff, and being flexible and open to finding solutions as required
- Excellent communication and interpersonal skills.
