Job Description:A. **The incumbent is responsible for the following duties:**
* Responding to employee inquiries and directing them to the appropriate personnel to facilitate resolution.
* Submitting required reports on personnel data to the department.
* Preparing all types of Human Resources correspondence for employees or concerned departments, following necessary approvals, and submitting them to relevant authorities (e.g., embassies, banks, courts).
* Receiving employee-related penalties, entering data into the system, reviewing with the Personnel Section Head, and submitting monthly penalty reports to the Payroll Section and Legal Affairs Department.
* Executing necessary termination and clearance procedures as directed by the direct manager.
* Generating “Change of Status” forms (e.g., restructures, transfers) after securing all required approvals, and submitting monthly reports to the Personnel Section Head for review.
* Submitting hiring reports to the HR Section Head for completion of missing data.
* Reviewing new hire reports prior to access card initiation.
* Disseminating employee suspension announcements issued by the Legal Department and the HR Director.
* Distributing new hire announcements to all relevant clubs.
* Meeting with terminated employees to obtain signatures on required documentation after obtaining all necessary approvals.
* Managing resignation and clearance cases as assigned by the Section Head.
* Verifying that employee resignations have all required signatures and approvals, including that of the employee’s direct manager.
* Submitting clearance forms to concerned departments to settle employee custody matters.
* Deleting resigned employee data from the system, communicating with assigned personnel to prepare experience certificates and clearance forms, and liaising with relevant departments (e.g., Time Management Section, Organizational Development Department, IT Department) to facilitate the process.
* Acting as a substitute for the Section Head in his/her absence.
* Performing other duties as required to streamline workflow, within the scope of the job’s primary responsibilities.
