Job Purpose The Specialist, Fleet Maintenance Scheduling is responsible for the efficient management of the Computerized Maintenance Management System (CMMS), ensuring the accurate scheduling, tracking, and documentation of all fleet maintenance activities. This role encompasses the creation and management of work orders, meticulous documentation control, and effective inventory management. The specialist will ensure the digital recording of all inspections and collaborate closely with the yard team, technicians, and other stakeholders to maintain optimal fleet performance. Key Responsibilities CMMS Management: Operate and maintain the CMMS system, ensuring all maintenance activities are accurately logged and tracked. Work Order Management: Create and assign work orders for both preventive and corrective maintenance, tracking their progress to ensure timely completion. Reporting and Analysis: Generate comprehensive reports and insights from the CMMS data to support informed decision-making. Documentation Control: Maintain and update all maintenance records, inspection reports, and service documents in a digital format. Compliance: Ensure all fleet maintenance activities adhere to company policies, safety regulations, and relevant industry standards. Audit Support: Collaborate with auditors by providing necessary documentation and records as required. Inventory Management: Monitor and manage the inventory of spare parts, tools, and maintenance supplies, coordinating with suppliers and procurement teams for timely reordering. Ensure proper documentation of all parts used in maintenance activities within the CMMS. Fleet Inspections: Maintain a digital record of all fleet inspections, ensuring compliance with established maintenance schedules and safety standards. Yard Team Collaboration: Work closely with the yard team to ensure that vehicles meet safety and operational standards. Communication and Coordination: Serve as a liaison between the yard team, technicians, and management to ensure a seamless workflow, providing updates on maintenance schedules, pending work orders, and vehicle readiness. Fleet Availability Planning: Assist in the planning and scheduling of fleet availability to minimize downtime and maximize operational efficiency. Policies, Systems, Processes, Procedures, Standards, and Reports Adhere to all relevant functional policies, processes, standard operating procedures, and instructions to ensure consistent and controlled work execution. Assist in the preparation of accurate and timely functional Management Information System (MIS) statements and reports to meet corporate and functional requirements, policies, and standards. Safety, Quality & Environment Apply safety, quality, and environmental management policies, procedures, and controls to ensure employee safety, legislative compliance, the delivery of high-quality products/services, and a responsible environmental attitude. Continuous Improvement Contribute to the identification of opportunities for continuous improvement of department systems, processes, and practices, considering international best practices, business process improvements, cost reduction, and productivity enhancement. Qualifications Education: Diploma or Bachelor’s degree in Automotive Engineering, Mechanical Engineering, Logistics, or a related field. Certifications (Preferred): CMMS training, Fleet Maintenance Certification, or Logistics Management courses. Experience: Minimum 3-5 years of experience in fleet maintenance, scheduling, or CMMS operations. Technical Skills: Proficiency in CMMS software and fleet management systems. Strong knowledge of preventive maintenance schedules and automotive repair documentation. Experience in inventory management and procurement processes. Soft Skills: Strong organizational and time management skills. Excellent communication and coordination abilities.
