Job Description:**Job Description: Real Estate Administrator**
**Responsibilities:**
* **Administrative Support:** Prepare and process real estate listing agreements, sales and lease contracts, and agency forms in accordance with established procedures. Manage property listings across internal systems and external portals, ensuring data accuracy and timely updates. Maintain and update CRM/database records with precision. Coordinate property viewings, inspections, and key handovers, adhering to agency protocols. Manage incoming communications, including calls, emails, and inquiries, on behalf of the agency team.
* **Document Management & Compliance:** Assist with regular audits of documentation and maintain accurate tracking systems to ensure compliance with legal and regulatory requirements.
* **Client & Team Coordination:** Liaise with landlords, tenants, buyers, and developers to facilitate the coordination of documentation and scheduled appointments. Support the sales and leasing team by preparing meeting materials, generating reports, and conducting client follow-ups. Organize property handovers, schedule snagging appointments, and manage move-in/move-out documentation.
* **Marketing & Reporting Support:** Assist in the preparation of property brochures and coordinate marketing efforts with the marketing team. Manage the CRM system and property portals to ensure accurate and up-to-date information. Compile weekly and monthly reports on listings, deals, and team KPIs. Coordinate with external service providers, including photographers, signboard suppliers, and staging consultants, as needed.
**Qualifications:**
* Minimum of two (2) years of experience in real estate administration or a related field.
* Comprehensive knowledge of real estate documentation and CRM platforms (e.g., Goyzer, Salesforce, Property Finder tools).
* Demonstrated excellence in communication, organization, and multitasking.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
* Familiarity with real estate laws in Sharjah.
* Bilingual proficiency in English and Arabic is preferred.
