Job Description:The incumbent will be responsible for the following duties:
1. Monitoring and tracking the progress of departmental contracts to ensure timely execution and compliance.
2. Maintaining and regularly updating administrative files pertaining to the department.
3. Managing and continuously updating the procurement database to ensure data accuracy and availability.
4. Coordinating with the finance department to reconcile invoices and purchase orders, ensuring payments are processed in accordance with contractual agreements.
5. Collecting and analyzing internal and external data to support departmental decision-making and strategy development.
6. Communicating with suppliers to schedule timely delivery of requested items and assessing supplier capabilities to meet order specifications and RFQ requirements prior to approval.
7. Preparing purchase requests within the system and consistently following up on their status to ensure timely processing.
8. Reviewing product or item specifications in coordination with relevant departments to avoid delays or miscommunication during procurement processes.
9. Verifying the technical specifications of goods upon delivery, in collaboration with the relevant departments, to ensure they meet quality and order requirements.
10. Maintaining an updated supplier registry that includes detailed supplier profiles, and supporting the Procurement Manager in identifying and evaluating new suppliers to ensure competitive pricing and quality, ultimately benefiting the organization.
Skills:
- Education: Bachelor’s degree in Business Administration, Supply Chain Management, or a related
field.
– Experience: Minimum of 2-3 years of experience in procurement at Facility management companies.
– Previous work experience in facility management companies.
– Proficiency in Microsoft Office (especially Excel).
– Experience using procurement or ERP systems.
– Good understanding of procurement processes, supplier evaluation, and contract management.
– Familiarity with market research and cost analysis techniques.
– Strong verbal and written communication skills in both English and Arabic.
