Job Description:
We are seeking a proactive and highly organized Projects & Property Coordinator to support day-to-day Leasing department operations. This role involves handling asset records, scheduling, and ensuring smooth communication between internal departments and external stakeholders. The ideal candidate will have strong administrative skills, attention to detail, and experience in property or facilities coordination.
Key Responsibilities
- Keep accurate records, review information, consolidate reports and take action where necessary.
- Communicate with the Line Manager regarding operational variances, compliance issues, and process improvements.
- Manage and update contact databases for brand, landlord, and leasing teams.
- Schedule meetings, manage attendance records, and track annual leave balances on a monthly basis.
- Liaise between internal departments (assets, leasing, projects) and external stakeholders to ensure uninterrupted business operations.
- Maintain detailed records of correspondence related to operational disruptions, damages, permits, renewals, closures, and other property-related requests.
- Oversee and track documentation for store openings, licensing, advertising permits, and waste management contracts
- Create, update, and maintain trackers, spreadsheets, and landlord contact lists in real time.
- Coordinate with the leasing department to ensure approvals, renewals, and property documentation are up to date.
The role requires strong analytical skills, attention to detail, and proficiency in Excel to handle data and reporting efficiently.
