Job Description:**Scope:**
Procurement, Contracts, and Warehouse Management.
**Objective:**
To provide comprehensive oversight and administration of all facets pertaining to contract management, procurement activities, and warehouse operations within the organization. This role is essential for ensuring the effective and economical sourcing of materials, services, and contract fulfillment, while adhering to the highest standards of quality in support of the organization’s real estate projects. Responsibilities encompass, but are not limited to, the following:
* **Strategic Procurement and Warehouse Management:** Development and implementation of procurement and warehouse policies and procedures, including the establishment of defined Service Level Agreements (SLAs). Conduct risk assessments pertaining to prospective contracts and agreements.
* **Procurement Budget Management:** Preparation of the procurement budget and subsequent submission for management approval. Responsible for the ongoing management and control of the procurement budget to optimize expenditures and ensure cost-effectiveness.
* **Vendor Management:** Identification, evaluation, and selection of vendors and suppliers based on established criteria including quality, reliability, and pricing. Collaboration with vendors to enhance performance and implement continuous improvement initiatives. Review of existing supplier and vendor contracts to ensure continued feasibility. Authorization of purchase orders and coordination of the receipt and verification of goods and services. Management of information technology systems employed to track shipments, inventory levels, and the supply chain. Preparation of comprehensive procurement reports.
* **Warehouse Management:** Oversight of all aspects of warehouse operations to facilitate the efficient receipt, storage, and distribution of goods. Effective management of inventory, logistics, and personnel, with a focus on minimizing costs and maintaining high standards of quality and safety within the warehouse environment. Monitoring and management of quality control, quantity verification, stock levels, delivery timelines, transportation costs, and operational efficiency.
* **Contract Management:** Supervision of the creation, review, and negotiation of contracts with suppliers, contractors, and other service providers. Monitoring of contract performance and compliance, including the resolution of any internal or external issues that may arise. Collaboration with the engineering department in the preparation of Bills of Quantities (BOQs), tender documentation, and tender packages in accordance with standard systems of measurement.
* **Compliance and Risk Management:** Maintenance of current knowledge of all applicable laws and regulations pertaining to procurement and contract management. Mitigation and management of risks associated with procurement, warehouse operations, and contract execution.
