Job Description:**Position Description: People and Culture Coordinator**

The People and Culture Coordinator is a critical role within Tender Loving Care Disability Services, responsible for comprehensive support throughout the employee lifecycle. This position ensures all activities are aligned with the National Disability Insurance Scheme (NDIS) Practice Standards, upholding workforce compliance, maintaining accurate and auditable employee records, and delivering responsive human resources services to staff and stakeholders. The incumbent ensures recruitment, onboarding, training compliance, and offboarding processes adhere to regulatory requirements and internal policies, fostering a safe, high-performing, and person-centered workplace culture that supports quality care outcomes for NDIS participants.

**Key Responsibilities:**

* **NDIS-Aligned Recruitment and Onboarding:** Verification of all mandatory documentation prior to employment commencement, including NDIS Worker Screening Check, National Criminal History Check, Working with Children Check (if applicable), Right to Work evidence, and relevant qualifications/certifications (e.g., First Aid, CPR, Manual Handling). Creation of staff profiles across all organizational systems (Care Vision), including payroll and training platforms. Coordination of IT logins, company identification, and email account issuance. Enrollment of staff in compulsory induction and ongoing training programs in accordance with the NDIS Practice Standards, including orientation on participant rights, incident management, and person-centered care.
* **HR Compliance and Workforce Administration:** Maintenance of digital and physical employee files in accordance with NDIS Quality Indicators and retention requirements. Monitoring and follow-up on expired documents/licenses (e.g., First Aid, police checks, insurances) to maintain workforce readiness. Processing of staff terminations and offboarding in systems, ensuring timely revocation of access and finalization of records. Serving as the primary point of contact for staff, management, and external stakeholders on HR-related matters. Ensuring consistency in HR communications and adherence to policies regarding professional conduct, complaints, incident reporting, and safeguarding.
* **Training and Capability Support:** Monitoring staff compliance with mandatory training (e.g., Infection Prevention and Control, Behaviour Support, Privacy and Confidentiality). Coordination of refresher sessions and tracking of completion against individual learning plans and organizational requirements. Contribution to the implementation of staff development initiatives that support quality outcomes and retention.
* **Audit and Continuous Improvement:** Ensuring all workforce documentation is audit-ready and aligned with NDIS Commission expectations and workforce standards. Participation in quality audits and assistance in responding to recommendations related to workforce practices. Provision of input on policy reviews, HR process improvements, and risk mitigation strategies. Support of HR data collection, reporting, and analytics for compliance tracking and workforce planning.

Skills:

  • Bachelor’s degree in Human Resources, Psychology, Business Administration, or a related field (preferred) or community services sector – Open to fresh graduates
  • Working knowledge of the NDIS Practice Standards and Worker Screening Requirements
  • Familiarity with HRIS recruitment and learning management systems
  • Strong organisational and documentation skills to support audit readiness
  • Excellent communication and interpersonal skills to manage diverse workforce needs
  • Fluent in English, both written and verbal
  • Proficiency in Microsoft Office Suite
  • Commitment to participant safety and human rights
  • High ethical standards and professionalism
  • Time management and ability to prioritise under pressure
  • Attention to detail and accuracy in compliance processes
  • Cultural sensitivity and respect for diversity
  • Strong relationship-building and problem-solving skills
