Job Description:**Position Description: People and Culture Coordinator**
**Purpose:**
The People and Culture Coordinator holds a vital position within Tender Loving Care Disability Services, responsible for administering the complete employee lifecycle in accordance with the National Disability Insurance Scheme (NDIS) Practice Standards. This role is instrumental in maintaining workforce compliance, ensuring meticulous and auditable employee records, and providing responsive human resources services to staff and stakeholders.
This position ensures the comprehensive execution of recruitment, onboarding, training compliance, and offboarding procedures, adhering strictly to regulatory mandates and internal organizational policies. These efforts contribute significantly to fostering a safe, high-performing, and person-centered workplace culture, ultimately supporting the delivery of high-quality care outcomes for NDIS participants.
**Key Responsibilities:**
* **NDIS-Aligned Recruitment and Onboarding:**
* Verify and secure all requisite documentation prior to commencement of employment, including:
* NDIS Worker Screening Check
* National Criminal History Check
* Working with Children Check (where applicable)
* Evidence of Right to Work
* Relevant qualifications and certifications (e.g., First Aid, CPR, Manual Handling)
* Establish employee profiles within all organizational systems (Care Vision), encompassing payroll and training platforms.
* Oversee the allocation of IT access credentials, company identification, and email accounts.
* Enroll personnel in mandatory induction programs and ongoing training initiatives, in accordance with the NDIS Practice Standards, covering areas such as participant rights, incident management, and person-centered care principles.
* **HR Compliance and Workforce Administration:**
* Maintain both digital and physical employee files in accordance with NDIS Quality Indicators and data retention protocols.
* Monitor and actively pursue the renewal of expiring documents and licenses (e.g., First Aid certifications, police checks, insurance policies) to ensure continuous workforce readiness.
* Process employee terminations and offboarding procedures within designated systems, ensuring the prompt revocation of access privileges and the finalization of all relevant records.
* Serve as the primary point of contact for staff, management, and external stakeholders concerning HR-related inquiries and matters.
* Guarantee consistency in HR communications and strict adherence to organizational policies pertaining to professional conduct, complaints procedures, incident reporting, and safeguarding protocols.
* **Training and Capability Support:**
* Monitor employee compliance with mandatory training programs (e.g., Infection Prevention and Control, Behaviour Support, Privacy and Confidentiality).
* Coordinate refresher training sessions and meticulously track completion rates against individual learning plans and overall organizational requirements.
* Contribute to the implementation of staff development initiatives designed to enhance service quality and promote employee retention.
* **Audit and Continuous Improvement:**
* Ensure that all workforce documentation is consistently audit-ready and fully aligned with NDIS Commission expectations and established workforce standards.
* Actively participate in quality audits and contribute to the development of responses to recommendations concerning workforce practices.
* Provide informed input on policy reviews, HR process improvements, and risk mitigation strategies.
* Support the collection, reporting, and analysis of HR data for the purposes of compliance tracking and strategic workforce planning.
Skills:
- Bachelor’s degree in Human Resources, Psychology, Business Administration, or a related field (preferred) or community services sector – Open to fresh graduates
- Working knowledge of the NDIS Practice Standards and Worker Screening Requirements
- Familiarity with HRIS recruitment and learning management systems
- Strong organisational and documentation skills to support audit readiness
- Excellent communication and interpersonal skills to manage diverse workforce needs
- Fluent in English, both written and verbal
- Proficiency in Microsoft Office Suite
- Commitment to participant safety and human rights
- High ethical standards and professionalism
- Time management and ability to prioritise under pressure
- Attention to detail and accuracy in compliance processes
- Cultural sensitivity and respect for diversity
- Strong relationship-building and problem-solving skills
