Job Description

As an Order Management Officer at ABYAT , your primary responsibility is to oversee and manage the end-to-end order processing cycle, ensuring accuracy, efficiency, and customer satisfaction. You will be responsible for coordinating with various internal departments to facilitate smooth order fulfilment, resolving any issues or discrepancies, and providing support to customers throughout the order life-cycle.

Job Duties:

  • Initiate PO process by requesting Proforma Invoice from the vendor, create PO in SAP after reconciling
  • Follow up internally to get PO fully released in the system.
  • Communicating released PO details with the vendor and getting acknowledged with initial readiness details.
  • Follow up to finalize payment term requirements (LCs, Advance etc.)
  • Follow up with the vendor until getting the readiness to arrange shipment.
  • Nominating Freight forwarder for the shipment after analyzing tendering process
  • Pre-Shipment follow-ups with vendors and forwarders to ensure shipment processes are managed properly.
  • Creating Shipments in SAP System – Inbound Creation, Shipment Creation, Cost Creation.
  • SABER document process for KSA Shipments
  • Post-Shipment follow-ups with the vendor and forwarders to collect original shipment documents on time for customs clearance
  • Tracking Shipment and updating events in the SAP system (ETD/ETA/ATP etc.)
  • Settling Shipment discrepancy (Excess/ Shortage)
  • Settling commercial invoice variance
