**Job Opportunity: Office Receptionist and Executive Secretary**
Our organization seeks a highly organized and professional individual to fulfill the dual role of Office Receptionist and Executive Secretary, providing comprehensive administrative support to the Chief Executive Officer.
The successful candidate will be responsible for managing front desk operations while simultaneously providing high-level administrative assistance to the CEO. This position demands exceptional communication skills, meticulous attention to detail, and the capacity to effectively manage multiple priorities within a dynamic environment.
**Primary Responsibilities:**
* Professionally greet and receive visitors, ensuring a courteous and welcoming experience.
* Manage incoming telephone communications, directing calls to the appropriate personnel or departments.
* Maintain and manage the CEO’s schedule, encompassing appointment scheduling, meeting coordination, and travel arrangements.
* Compose and disseminate correspondence, memoranda, letters, and reports on behalf of the CEO.
* Process and manage incoming and outgoing postal mail and packages.
* Monitor and maintain office supply inventory, initiating procurement orders as required.
* Provide support in the planning and coordination of corporate events and meetings.
* Ensure the maintenance of a clean, organized, and professional office environment.
* Perform general clerical tasks, including filing, photocopying, and data entry.
* Handle sensitive and confidential information with the utmost discretion and professionalism.
**Required Qualifications, Experience, and Competencies:**
* Bachelor’s degree in any discipline.
* Minimum of three (3) years of demonstrable experience in a receptionist, secretarial, or administrative assistant role.
* Superior verbal and written communication proficiencies.
* Exceptional organizational and time management capabilities.
* Proficiency in the Microsoft Office Suite (Word, Excel, Outlook).
* Demonstrated ability to prioritize tasks and maintain efficiency under pressure.
* Professional demeanor and presentation.
