Job Description:The incumbent is responsible for providing comprehensive administrative support, encompassing office management, correspondence handling, diary management, and reporting. This includes independently managing office support, resolving administrative inquiries, and handling correspondence for the manager. Effective diary management is crucial, involving liaison with relevant parties to organize meetings and schedules. Proficiency in Oracle systems is essential. The role entails providing comprehensive reporting support, including word processing, filing, note-taking, report preparation, and presentations. Ensuring courteous and efficient support to visitors, including room and buffet bookings, is also a key responsibility. Furthermore, the incumbent will follow up on project status across the department, offer general administrative support to the Head of Divisions, and conduct welcome and induction for new staff regarding administrative, IT, and financial procedures. Business system management, including staff development reviews and needs identification, is required. The incumbent will prepare progress reports, assist in forming departmental presentations, ensure compliance with systems, processes, and agreed delegations, and adhere to procurement directives, liaising with Procurement to resolve related issues. Collaborating with the Projects’ Head to establish a work-in-progress reporting and review system is also essential. Support for budget planning, ensuring approved expenditure remains within budget, is necessary. The role involves creating project administrative needs, ensuring accurate information for staff requests, and maintaining consistency of project information between departments. Managing invoice reception for the Head Office and Projects Divisions, scheduling daily meetings, and managing all filing and documentation for the Office Head are also key duties. Creating requisitions for various needs, including apartments, stationery, and new assets, as well as managing business forms, is required. The role includes arranging staff travel, ensuring proper processing of rechargeable expenses, undertaking regular attendance reviews and submitting monthly reports to HR, liaising with IT for staff requirements, and managing company mobiles. Finally, procuring office supplies as needed is also a part of the responsibilities.
