Job Description:The incumbent will be responsible for the following duties:

1. **Shipment Coordination:** Managing and coordinating the complete shipment lifecycle (import, export, and cross-trade) across all modes of freight (air, sea, and land). Ensuring the efficient and timely execution of all shipping processes from pickup to final delivery. Liaising with carriers (shipping lines, airlines, trucking companies) to secure bookings, track cargo, and manage schedules.

2. **Documentation Management:** Preparing, reviewing, and verifying all necessary shipping documentation, including bills of lading, airway bills, invoices, packing lists, and certificates of origin. Ensuring the accuracy and compliance of all documentation with local and international customs and trade regulations. Submitting required documentation to customs brokers, port authorities, and relevant stakeholders for clearance purposes.

3. **Client Communication:** Serving as the primary point of contact for clients, providing regular shipment status updates, addressing inquiries, and resolving any issues pertaining to cargo movement. Maintaining timely and clear communication with clients regarding any delays, discrepancies, or challenges encountered during the shipping process.

4. **Customs and Regulatory Compliance:** Ensuring all shipments adhere to Egyptian and international customs regulations, including the submission of all required documentation for customs clearance. Collaborating with customs brokers and authorities to resolve any clearance-related issues and ensure the prompt release of cargo.

5. **Cost Management:** Coordinating with the pricing department to ensure the provision of accurate quotations to clients, based on shipping requirements, routes, and carrier rates. Monitoring and managing operational costs, seeking to minimize unnecessary expenses while upholding service quality.

6. **Carrier and Vendor Liaison:** Maintaining strong relationships with service providers, including shipping lines, airlines, trucking companies, and warehouses. Negotiating competitive rates and ensuring timely booking and space allocation for shipments.

7. **Problem Resolution:** Proactively addressing and resolving any issues or challenges that arise during the shipment process, such as delays, damages, or documentation discrepancies. Escalating issues to the Operations Manager when necessary and proposing solutions to prevent future occurrences.

8. **Cargo Tracking and Reporting:** Monitoring the status of shipments and providing regular tracking updates to clients and internal teams. Preparing operational reports, including shipment status updates, delivery times, and cost analyses, for management review.

9. **Team Collaboration:** Collaborating with the sales, customer service, and accounting teams to ensure the seamless coordination of shipments, accurate invoicing, and client satisfaction. Supporting the Operations Manager in optimizing processes and improving overall operational efficiency.

Skills:

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • 1+ years of experience in freight forwarding operations or logistics.
  • Strong understanding of international trade, shipping documentation, and customs procedures.
  • Ability to work under pressure, manage multiple tasks, and meet tight deadlines.
  • Excellent communication and negotiation skills, with a customer-focused approach.
  • Proficiency in freight management systems and Microsoft Office (Excel, Word).
