**Overall Purpose:**

The Human Resources Generalist is responsible for the comprehensive execution of human resources functions across all field project locations and the corporate headquarters. A key focus of this role involves the strategic sourcing and effective management of technical and agricultural blue-collar personnel within the landscaping sector. The incumbent will ensure that all HR policies and procedures are consistently applied and aligned with both internal organizational guidelines and the specific requirements of field and office environments. Furthermore, this position necessitates the preparation and in-depth analysis of workforce data utilizing specialized technical tools, including Microsoft Excel and the Human Resources Information System (HRIS).

**Key Responsibilities:**

**I. Field Operations (Project Site Execution):**

1. Conduct comprehensive on-site recruitment activities for technical and agricultural personnel, encompassing candidate reception, interview administration, skill assessments, and contract generation.
2. Coordinate the daily deployment and allocation of labor resources in accordance with pre-defined project requirements and schedules.
3. Maintain accurate and up-to-date daily attendance and departure records for all field personnel.
4. Meticulously document all field-related incidents, including but not limited to absences, disciplinary actions, work-related injuries, and behavioral infractions.
5. Monitor and enforce worker compliance with established safety protocols and uniform policies, documenting any violations observed.
6. Prepare and submit comprehensive daily or weekly field reports to designated departments, ensuring timely and accurate information dissemination.
7. Maintain meticulous and secure employee records at the project site, adhering to established HR department guidelines and data protection standards.
8. Provide support to supervisory personnel in the issuance of formal warnings and disciplinary notices to employees.
9. Coordinate and manage labor accommodation arrangements and transportation logistics as required.
10. Propose and implement enhancements to improve field working conditions, and conduct regular worker satisfaction assessments to gauge employee morale and identify areas for improvement.

**II. Office-Based Operations (Post-Site Visit):**

1. Accurately enter and meticulously update employee data within the company’s HRIS and/or designated Microsoft Excel spreadsheets.
2. Utilize advanced Excel functionalities, including VLOOKUP, IF, SUMIF, and PivotTables, to conduct robust data analysis and generate actionable insights.
3. Prepare comprehensive monthly reports encompassing key HR metrics such as salary administration, attendance patterns, overtime hours, overall productivity, and employee turnover rates.
4. Archive both physical and digital files in accordance with established company protocols for record retention and information governance.
5. Provide support in payroll preparation activities, ensuring accurate verification of worker entitlements and compensation packages.
6. Collaborate with relevant departments to facilitate seamless information exchange regarding labor data and documented observations.
7. Schedule interviews for prospective candidates and diligently maintain the organization’s candidate database.
8. Actively participate in employee performance appraisal processes, providing constructive and actionable feedback to facilitate employee development.

**III. Technical and Reporting Responsibilities:**

1. Accurately and comprehensively document all daily labor-related incidents within the HRIS or designated Microsoft Excel templates, ensuring data integrity and consistency.
2. Design and implement digital forms for various HR processes, including attendance tracking, leave requests, disciplinary warnings, and settlement agreements.
3. Develop and maintain interactive dashboards and analytical reports to visualize and interpret workforce data, providing valuable insights for decision-making.
4. Provide basic technical assistance to supervisory personnel in the utilization of simple digital tools and applications.
5. Digitally archive all relevant data and ensure that proper backup procedures are consistently followed to safeguard information security.
6. Contribute to enhanced administrative efficiency through the implementation of digital transformation initiatives and the reduction of paper-based processes.

**Work Environment:**

The work environment is divided equally between field-based and office-based activities (50% Field / 50% Office). Working hours are governed by the company’s internal policy, with flexibility for overtime work as necessitated by project site demands.

Skills:

  • Bachelor’s degree in Human Resources, Business Administration, or a related field.
  • Certification in Human Resources Management is preferred.
  • 2 to 5 years of proven experience in HR.
  • Demonstrated experience in handling technical/agricultural labor in construction or landscaping.
  • Advanced proficiency in Microsoft Excel.
  • Ability to operate effectively on project sites and under field pressure.
  • Strong interpersonal and communication skills with various workforce levels.
  • Very good command of English, both spoken and written.
