Job Description:**Executive & Personal Assistant – Somish Solutions Limited (Dubai)**
Somish Solutions Limited seeks a highly qualified and experienced Executive & Personal Assistant to provide comprehensive support to the Chief Executive Officer (CEO) in the execution of professional and personal responsibilities. This position is based in Dubai, and candidates must be either currently residing in Dubai or willing to relocate. Relocation and visa sponsorship will be provided.
**Key Responsibilities:**
**Professional & Corporate Support:**
* **Calendar Management:** Meticulously organize and manage the CEO’s calendar, including scheduling meetings, coordinating reschedules, and managing appointments.
* **Email Management:** Oversee multiple email accounts on behalf of the CEO, including drafting correspondence, extracting pertinent data, and managing outreach initiatives.
* **Event Management:** Coordinate and manage company and personal events, including vendor management and resource procurement.
* **Salary Approvals:** Coordinate and prepare documentation for salary approvals as directed by the CEO.
* **Bookkeeping Coordination:** Liaise with Chartered Accountants regarding personal bookkeeping matters, income tax returns, and Non-Resident Indian (NRI) day calculations.
* **Team Coordination:** Serve as a point of contact between the CEO and internal team members to facilitate the fulfillment of the CEO’s directives and requirements.
* **Project Coordination & Follow-ups:** Provide support for ongoing projects, ensuring the timely completion of assigned tasks.
* **Finance Coordination:** Collaborate closely with the finance team on payments, invoicing, and budgeting activities.
* **Office Management:** Oversee the management of the Dubai office.
**Personal & Lifestyle Management:**
* **Medical & Insurance Coordination:** Schedule medical appointments and procure necessary insurance approvals.
* **Travel Arrangements:** Manage all aspects of travel arrangements for the CEO, family members, and other designated individuals, including visa applications, ticket procurement, hotel reservations, and transportation logistics.
* **Vendor Management:** Identify and coordinate with vendors, maintaining accurate vendor ledgers.
* **House Management:** Manage personal staff salaries, advance accounts, and insurance and visa renewals for domestic employees.
* **Banking & Financial Coordination:** Liaise with financial institutions in the United Arab Emirates (UAE) and India, managing personal and company accounts, and approving vendor payments.
* **Payments & Financial Tracking:** Manage EMI schedules, credit card summaries, school fees, memberships, utility bills, and other personal payments.
* **Property & Maintenance Oversight:** Coordinate house maintenance work with contractors and multiple vendors.
* **Documentation & Administrative Work:** Manage documentation for personal and company needs, including loan applications and official paperwork.
* **Insurance Management:** Maintain vehicle, health, and life insurance policies for the CEO and family (India and UAE).
* **Personal Assistance:** Fulfill personal errands and ad hoc requests as required.
**Required Skills and Attributes:**
* **Note-Taking Expertise:** Demonstrated proficiency in capturing detailed notes efficiently, utilizing shorthand or rapid typing skills.
* **Availability and Adaptability:** The candidate must demonstrate a high degree of availability and adaptability to meet the demands of the CEO’s schedule.
* **Communication Skills:** Possess excellent written and verbal communication skills in English.
* **Technical Proficiency:** Expertise in Google Workspace (Docs, Sheets, Calendar, Gmail) and fluency with modern tools and platforms.
* **Internet Fluency:** Adept at online research and comfortable navigating internet culture and digital platforms.
* **Positive Demeanor:** Maintain a calm and cheerful demeanor in a high-pressure environment.
* **Accountability:** Demonstrate a proactive, ownership mindset, anticipating needs and executing tasks seamlessly.
* **Work Ethic:** Possess a strong work ethic and dedication to supporting the CEO and the organization.
* **Attention to Detail:** Exhibit exceptional organizational skills, attentiveness, and detail orientation.

**Experience Requirements:**
* Demonstrated experience working in high-growth, fast-paced organizations.
* Minimum of five (5) years of experience supporting founders, CXOs, or senior executives.
**Key Deliverables:**
* Develop a comprehensive understanding of the CEO’s priorities and manage their time effectively.
* Oversee the CEO’s calendar, schedule meetings, prepare agendas, capture minutes, and ensure follow-up actions are tracked to completion.
* Communicate on behalf of the CEO with internal teams and external stakeholders.
* Prioritize competing requests, proactively resolve issues, and consistently meet deadlines.
* Coordinate and manage recruitment logistics as required.
* Assist the CEO with strategic and ad hoc projects, including planning and executing team activities.
* Manage complex travel arrangements (domestic and international), including itineraries, agendas, and meeting documentation.
* Anticipate and prepare for all pre- and post-travel or meeting requirements.
* Ensure the smooth operational execution of the CEO’s initiatives, acting as a bridge between ideas and action.
* Collaborate cross-functionally to ensure alignment with organizational goals.
