Job briefYou will be responsible for handling and managing the Chairman’s calendars and schedules. You will assist in handling and following up on several tasks for other departments.ResponsibilitiesAssist in the planning and preparation of meetings, conferences and conference telephone calls & File and retrieve corporate documents, records, and reports as well as Maintain the general filing system and file all correspondenceTravel and accommodation arrangements: Book hotels, flights, transportations, travel application and claim expenses.Conduct research and prepare presentations or reports as assignedHandle communication on various channels on behalf of the Chairman.Handle sensitive and highly confidential informationAct as the point of contact between the Chairman and external clients.Produce reports, presentations and briefsProvide word-processing and secretarial support, Type confidential documents on a word processing system.Stay updated with all organizational changes and business developments 

Job Requirements :

RequirementsProven experience as Executive Assistant to Chairman or Similar administrative roleBachelor’s degree required  , Bachelor’s degree in Engineering or  Commerce English    preferredFluent in English is a mustFluent in French  is a mustShould be able to work flexible hours as the role involves coordination across multiple time zones.Proficient in MS Office and “back-office” software (e.g. ERP)In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industryFamiliarity with basic research methods and reporting techniquesExcellent organizational and time-management skillsOutstanding communication and negotiation abilitiesIntegrity and confidentialityTime Management.
