Job Description:**Responsibilities and Duties:**
The incumbent will be responsible for providing comprehensive executive support to the General Manager, encompassing the following key areas:
1. **Executive Assistance:** Efficiently manage and optimize the General Manager’s calendar, proactively scheduling meetings, anticipating conflicts, and ensuring prioritization of time in accordance with business imperatives. Prepare high-quality reports, presentations, and briefing materials for internal and external engagements. Draft, review, and manage executive-level correspondence, ensuring clarity, professionalism, and adherence to principles of confidentiality.
2. **Meeting and Event Management:** Organize and facilitate executive meetings, including the preparation of agendas, accurate minute-taking, diligent tracking of action items, and consistent follow-up. Coordinate all logistical arrangements for offsite meetings, board sessions, and leadership workshops. Manage travel plans, accommodations, and itineraries, ensuring alignment with the General Manager’s priorities and budgetary constraints.
3. **Stakeholder Liaison and Communication:** Serve as the primary point of contact between the General Manager and both internal and external stakeholders. Facilitate seamless communication across departments, promptly resolving issues and relaying pertinent information. Represent the General Manager in delegated interactions, maintaining a high degree of professionalism and ensuring consistency with organizational values.
4. **Information and Document Control:** Develop and maintain a secure and efficient filing system, encompassing both physical and digital formats, for contracts, reports, and sensitive documents. Ensure accurate documentation of decisions, policies, and procedures relevant to the General Manager’s office. Manage confidential information with the utmost discretion.
5. **Project and Initiative Support:** Provide support for strategic projects and initiatives by monitoring progress, coordinating inputs from various stakeholders, and ensuring timely follow-up on action items. Conduct research, compile data, and prepare executive summaries and dashboards as requested. Assist with budget tracking, procurement requests, and administrative reporting, including facility management and tracking reports.
6. **Operational Efficiency and Process Optimization:** Identify opportunities to enhance workflows and alleviate administrative burden on the General Manager. Implement and maintain executive support tools and platforms (e.g., task management systems, calendars, dashboards). Coordinate with Information Technology, Human Resources, and Finance departments to ensure the efficient operation of the General Manager’s office.
