**Job Summary:**
Our client, a prominent entity within the equipment trading sector, seeks a highly proficient and meticulous Executive Assistant to provide comprehensive support to the Chief Operating Officer (COO). The successful candidate will be responsible for the efficient management of the COO’s schedule, the coordination of projects, and the maintenance of seamless operational flow within the executive office. The ideal applicant will demonstrate proactivity, professionalism, and the ability to manage confidential information with utmost discretion, while effectively interfacing with both internal departments and external stakeholders.
**Key Responsibilities:**
* **Calendar and Travel Management:** Meticulously manage the COO’s calendar, prioritize appointments, and optimize scheduling efficiency. Coordinate all aspects of travel arrangements, including flights, accommodations, transportation, and comprehensive itineraries.
* **Communication and Correspondence:** Serve as the primary point of contact for the COO’s communications, screening telephone calls, responding to emails, and preparing memoranda, letters, and reports as required. Ensure clear, concise, and timely communication with all departments and external parties.
* **Executive and Departmental Coordination:** Liaise with department heads to ensure the punctual submission of Key Performance Indicators (KPIs), financial reports, and approval workflows. Provide support for cross-functional projects and initiatives designed to achieve organizational objectives. Assist in the planning and execution of high-level meetings and corporate events.
* **Project and Event Support:** Monitor the progress of special projects and compile pertinent research and documentation. Organize executive-level events, off-site meetings, and internal meetings with precision and attention to detail.
* **Expense and Office Management:** Prepare, reconcile, and submit the COO’s expense reports in a timely manner. Maintain accurate records of departmental expenses and ensure adherence to budgetary guidelines. Maintain a well-organized and efficient executive workspace.
**Qualifications:**
* Bachelor’s degree or equivalent professional experience in a relevant discipline.
* A minimum of five (5) years of experience in a comparable role supporting senior-level executives.
* Exceptional time management, organizational, and multitasking capabilities.
* Superior written and verbal communication skills.
* Advanced proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Exceptional interpersonal skills and the ability to interact effectively with all levels of management.
* Demonstrated discretion and professionalism in handling sensitive and confidential information.
* Project coordination experience is highly desirable.
