Job Description:The following outlines the responsibilities pertaining to document control: Establish and maintain a comprehensive document control system for all project and company documentation, encompassing receipt, review, logging, and timely distribution of documents in accordance with established procedures. Ensure data integrity through meticulous monitoring of document revisions, updates, and version control. Collaborate with project managers, engineers, and administrative staff to guarantee document compliance and accessibility. Securely archive and retrieve documents, maintaining confidentiality and adhering to proper storage protocols. Generate regular reports on document status, outstanding issues, and compliance metrics. Assist in the development, implementation, and training of personnel on document control policies and procedures. Support audits and inspections by providing accurate and current documentation. Enforce adherence to company formatting requirements and policies across all documents. Maintain confidentiality regarding sensitive information and agreements. Review and update documents, including workflow files. Implement a robust system for managing and archiving project documents to facilitate efficient retrieval. Assign confidentiality levels to documents as directed. Create and maintain project files containing approved and coded documents, ensuring regular updates. Create, categorize, archive, and log all incoming and outgoing correspondence and documents for each project. Coordinate information transfer between project teams and executive leadership. Report escalated claims to the direct supervisor, addressing cost discrepancies and quality control issues. Monitor the progress of document review, approval, and issuance processes, providing periodic updates to management. Maintain a historical record of project files to support future cost estimations. Collaborate with the Information Systems Manager on document storage and updates within company databases. Respond to routine correspondence related to document management, escalating critical matters as necessary.
