Job Overview:
We are seeking a highly organized and detail-oriented individual to join our team as an Reservation & Customer Service Representative. In this role, you will be responsible for overseeing the day-to-day operations of our car rental services, ensuring efficiency, customer satisfaction, and profitability you will manage various aspects, receiving inquires, customer service, reservation. follow up invoices with clients & suppliers.
Job Title: Customer Service Executive
Provide Exceptional Customer Service:
- Ensure a high level of customer satisfaction by addressing inquiries, concerns, and requests promptly and professionally.
- Welcome and assist customers in a friendly and courteous manner.
Rental Process Management:
- Facilitate the smooth process of renting vehicles, including documentation, payment processing, and vehicle inspection.
- Explain rental terms, conditions, and policies to customers.
Vehicle Fleet Coordination:
- Coordinate with the operations team to ensure the availability and readiness of rental vehicles.
- Maintain accurate records of vehicle availability and reservations.
Resolve Issues and Disputes:
- Address and resolve customer complaints, disputes, or issues related to the rental experience.
- Collaborate with other departments to resolve complex problems.
Up-selling and Cross-selling:
- Identify opportunities to promote additional services or upgrades to enhance the customer experience.
- Effectively communicate and offer supplementary products, such as insurance packages, baby seats, additional driver services, pickup and drop-offs, Additional/Extra hours, etc…,
Knowledge of Local Regulations:
· Stay informed about local traffic regulations, parking rules, and other relevant laws to provide accurate information to customers.
Maintain Clean and Presentable Facilities:
· Ensure that the rental office and waiting areas are clean and well-maintained to provide a positive impression to customers.
Documentation and Record-Keeping:
- Accurately maintain records of rental transactions, customer information, and any relevant documentation.
- Generate reports as needed for management and auditing purposes.
Safety and Compliance:
- Educate customers on the safety features of rental vehicles and provide guidelines for safe driving.
- Ensure compliance with company policies and industry regulations.
Communication Skills:
· Communicate effectively with customers and internal teams through various channels, including in-person, phone, WhatsApp and email.
Team Collaboration:
- Collaborate with colleagues in different departments to ensure a seamless customer experience.
- Participate in training sessions to enhance skills and knowledge.
Problem-solving:
· Use critical thinking and problem-solving skills to address customer needs and unexpected challenges.
Sales Reporting:
· Provide regular reports on rental transactions, customer feedback, and sales performance to management.
Skills
Qualifications and Skills:
- Bachelor’s degree in Business Administration, Hospitality, or a related field.
- Previous experience in customer service, preferably in the automotive or rental industry.
- Knowledge of the Dubai rental car market and local driving regulations.
- Exceptional communication skills in English; proficiency in Arabic is a plus.
- Strong interpersonal skills to interact with diverse customers and team members.
- Excellent problem-solving abilities to address customer concerns and inquiries effectively.
- Familiarity with reservation and customer management systems specific to the rental car industry.
- Ability to handle challenging situations with composure and professionalism.
- Detail-oriented with strong organizational skills for managing reservations and paperwork.
- Knowledge of various car makes and models to assist customers in selecting suitable vehicles.
- Basic understanding of automotive maintenance and troubleshooting for quick problem resolution.
- Sales skills to promote additional services and upgrades to customers.
- Flexibility to work in shifts, including weekends and holidays.
- Familiarity with local landmarks, routes, and attractions to provide helpful navigation tips.
- Customer-centric mindset with a commitment to delivering an outstanding service experience.
- Ability to work in a fast-paced environment while maintaining a positive attitude.
- Knowledge of cultural nuances in customer interactions in Dubai.
