Job Description:**الخيار:**

The incumbent will be responsible for comprehensive office management, encompassing duties such as maintenance oversight, mail processing, supply procurement, equipment management, invoice processing, and errand execution. This individual will also manage meeting scheduling, office organization (including layout and stationery/equipment orders), and upkeep of the office environment, coordinating necessary repairs. Collaboration with Human Resources will be required to maintain and update office policies. Furthermore, the role involves organizing office operations and procedures, coordinating with the IT department on equipment matters, ensuring timely invoice payment, managing vendor contracts (including price negotiation and lease management), administering the office G&A budget with accurate and timely reporting, providing visitor support, assisting with new hire onboarding, addressing employee inquiries regarding office management matters (e.g., stationery, hardware, and travel arrangements), liaising with facility management vendors (including cleaning, catering, and security), and planning in-house and off-site events such as parties, celebrations, and conferences.

Skills:

  • Proven experience as an Office Manager, Front Office Manager or Administrative Assistant
  • Knowledge of Office Administrator responsibilities, systems and procedures
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Hands on experience with office machines (e.g. fax machines and printers)
  • Familiarity with email scheduling tools, like Email Scheduler and Boomerang
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills in a fast-paced environment
  • A creative mind with an ability to suggest improvements
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
