STRATEGIC OBJECTIVE/ACTIVITY

To deliver effective business support to the WFP operations on Qamishli Field office.

ORGANIZATIONAL CONTEXT

The Job holder will work as Business Support Assistant in admin unit and extend support to head of Field office . The staff member will report to the Head of admin unit in Field office.

KEY ACCOUNTABILITIES (not all-inclusive)

Within delegated authority, the Job holder will be responsible for the following duties;

duties carried out by all Business Support Assistants )

Job Contents:

To deal with telephone enquiries, photocopying and other administrative support as required and perform other routine office duties that includes; post, fax, scanning, and generic emails.

Prepare national staff Travel Authorization, ensuring that the correct processes are in place.

Reserve air tickets and hotel bookings for visitors and travellers.

Assist visitors with requests related to their accommodation in WFP guest house.

Process local travel, ensure the right travel rules are applied when processing the Travel Expense Claims and create trip documents.

Monitor and maintain records of all  WFP facilities which includes WFP office and guest house.

Work with a variety of individuals, taking on feedback where appropriate to assist in business support delivery for staff.

Provide administrative support to Head of Field Office , by facilitating his/her travels, accommodation, security clearance and meeting arrangements.

Provide guidance on routine business support methods and practices to junior colleagues to ensure services are delivered consistently and to the required standards.

Closely monitor staff attendance as per WFP procedures and ensure correct attendance report is prepared and submitted to WFP CO,

Maintain, track and report monthly the stock of office stationery and place timely orders;

Maintain a system of meeting room reservations, assist with in-house meetings, trainings and workshops; facilitate with refreshment and all other arrangement;

Perform other related duties as required.
