Job Description: **Administrative Officer**
The Administrative Officer will provide comprehensive administrative support across various functions, ensuring efficient office operations and contributing to the organization’s overall effectiveness. Key responsibilities include:
* **Administrative Support:** Managing administrative tasks related to the CEO’s office, as well as other general administrative duties in collaboration with the Operations Director. This includes drafting official correspondence and Memoranda of Understanding (MOUs) for ministries, sponsors, and partners as required.
* **Operations Support:** Assisting the Operations Director with proposal development and donor reporting.
* **Logistics Management:** Managing the driver, coordinating deliveries and item collections from partners.
* **Financial Administration:** Overseeing accounting data entry, supporting the annual auditing process, and facilitating the issuance of annual audited financial statements. Ensuring timely payment of suppliers and preparing related Local Purchase Orders (LPOs). Maintaining a systematic and organized archive of all payment records, contracts, and related documentation.
* **Human Resources Support:** Monitoring employee leave schedules and ensuring appropriate backup plans are in place. Actively sourcing and reviewing candidate resumes. Ensuring all employee contracts are properly executed and approved, both internally and externally. Following up on all HR-related tasks and benefits, including insurance.
* **Equipment and IT Support:** Ensuring the proper functioning of all office equipment (PCs, printers, phones, etc.). Coordinating with IT personnel to resolve any IT-related issues that may disrupt normal operations. Procuring necessary equipment as needed.
* **Records Management & Archiving:** Maintaining meticulous record management practices. Ensuring the continuous availability of program kits based on demand. Implementing proper filing protocols for all critical documents, such as sponsorship agreements and MOUs.
* **Event and Special Projects Support:** Assisting the Operations Director with event management tasks. Managing administrative activities related to special projects and events, including booking travel arrangements (flights, hotels, etc.) and coordinating with relevant stakeholders.
* **General Supplies & Stationery:** Managing printing press operations. Supporting program teams in ensuring all kits are printed and readily available. Procuring all general supplies required by the team.
