The Administrative Assistant provides advanced-level administrative support. This role necessitates a highly organized, proactive, and efficient individual capable of managing diverse responsibilities and handling confidential information with utmost discretion. The successful candidate will demonstrate exceptional communication, time management, and organizational proficiencies to facilitate the achievement of organizational objectives.

**Primary Duties and Responsibilities:**

* Manage and maintain the executive calendar, including scheduling meetings, appointments, and travel arrangements with meticulous attention to detail.
* Coordinate and prioritize incoming requests to ensure efficient workflow management.
* Serve as the primary liaison for internal and external stakeholders, fostering effective communication and collaboration.
* Prepare and review correspondence, reports, presentations, and other official documents with precision and accuracy.
* Screen telephone calls and electronic mail, addressing inquiries or redirecting them as appropriate, while maintaining a professional demeanor.
* Organize and schedule meetings, including the preparation of agendas, accurate record-keeping of minutes, and diligent follow-up on action items.
* Coordinate logistical arrangements for events, conferences, and other company-led activities, ensuring seamless execution.
* Arrange comprehensive travel accommodations and itineraries, encompassing flight reservations, hotel bookings, and ground transportation coordination.
* Maintain meticulous files, records, and office supplies, ensuring optimal organization and accessibility.
* Ensure the secure and appropriate handling of all confidential and sensitive materials, adhering to established protocols.
* Assist in the management of projects, diligently tracking deadlines, and coordinating associated tasks to ensure timely completion.
* Support the preparation of presentations, reports, and other deliverables for meetings, contributing to clear and effective communication.
* Provide comprehensive administrative support, including managing incoming requests, preparing materials, and undertaking additional tasks as required to maintain operational efficiency.

Skills:

  • Bachelor’s degree or equivalent experience.
  • Business Fluency in English is a must 
  • (3-7)years of administrative experience, preferably supporting senior management or executives.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple priorities.
  • High attention to detail and problem-solving skills.
  • Ability to handle sensitive and confidential information with discretion.
  • Proactive and able to work independently with minimal supervision.
  • Adaptable and flexible in a fast-paced environment.
  • Strong interpersonal skills and the ability to build relationships with internal and external stakeholders.
