Under the direction of the department head, this role entails the receipt and processing of supply orders pertaining to contracts and tenders. Responsibilities include the meticulous review and analysis of technical specifications for tenders and supplies to ensure comprehensive understanding of project requisites. Furthermore, the incumbent is responsible for scrutinizing designs and engineering drawings for all required goods, adhering to established standards and specifications. Financial assessments and specifications are prepared in accordance with departmental guidelines, guaranteeing the completeness and timely submission of all documentation in compliance with stipulated conditions. This role also involves proactive research, design, and monitoring of new product development, coupled with proposing enhancements to existing products for continuous improvement. Regular reports summarizing tender and supply activity status are generated, encompassing analysis of unsuccessful bids and rationales for non-selection. Customer research is conducted to ascertain fulfillment of requirements and alignment of goods with customer needs. Technical guidance and support are extended to other departments as necessary. Participation in company training sessions is mandatory. The incumbent is further responsible for preparing reports detailing work-related challenges and obstacles, proposing improvement strategies, and providing updates on completed and pending tasks for submission to the direct supervisor. Documentation of new developments within the company’s field is essential, culminating in a comprehensive archive of all company goods. Adherence to and implementation of the company’s quality assurance system (ISO) procedures is paramount, ensuring the completion and submission of all required reports and forms.

Experience:

  • 2–4 years of experience in procurement, tendering, or technical support roles.
  • Proven experience in handling tenders, reviewing technical specifications, and preparing financial proposals.
  • Familiarity with local and international tender processes and compliance requirements.

Technical Skills:

  • Strong understanding of technical specifications, engineering drawings, and financial measurements related to goods and services.
  • Proficiency in preparing tender documents, cost estimates, and bid submissions.
  • Skilled in conducting market and customer research to align offerings with requirements.
  • Solid knowledge of procurement laws, bidding regulations, and contract terms.

Soft Skills:

  • Excellent analytical and problem-solving skills, with strong attention to detail.
  • Strong organizational and time-management abilities, especially for managing multiple tenders and deadlines.
  • Effective communication and coordination skills across departments.
  • Ability to work independently and in a team environment.
