Job Summary:
Responsible for assisting the Department to achieve department objectives with regards to Leasing and Company goals in a timely efficient manner.
Duties and responsibilities include but not limited to:
- Manage and maintain department database through supported software.
- Contact landlords to obtain any require information.
- Manage and coordinate department meetings.
- Responsible for organizing the department filing.
- Prepare and generate efficient reports that facilitate job and update higher level managers with project status and updates.
- Coordinate with other departments in order to accomplish tasks related to the department activities.
- Assist other team members with all necessary information requests.
- Prepare presentations for the new store openings opportunities.
- Manage documentations regarding variety of real estate department activities and projects.
- Typing department’s correspondences with landlords and authorities
- Coordinate and follow up on all properties lease agreement renewals.
- Responsible for requesting and following up on payments as per schedules
- Responsible for completing the documents necessary for opening new stores licenses in coordination with the Government Relations Department and project team.
- Follows up on the renewal and termination of contracts.
- Responsible for writing official letters to the real estate department.
- Responsible for researching market comparable and come up with a recommendation to help the company get the best lease terms and conditions.
- Review the contracts and negotiations done by the staff.
- Carry out general admin support for Real Estate Managers in their day to day work in particular assist in areas relating to local knowledge to enable the Real Estate Managers to operate effectively which may include driving and errand running, photocopying, scanning, filing etc
- Bring-forward date system, project handovers / refurbishments – preparation and recording of handover packs / instructions.
- Provide general assistance in all areas of Estate Management of the Retail Portfolio relating to the control, audit and documentation of contractual rent escalation performance and budgeting, lease renewals or extensions, Service charges (common area charge).
- Communicate relevant information to external parties whilst presenting the Company in a professional manner.
- Act as central point for research and information gathering for a variety of projects across the markets (where necessary).
