Job Description:**Position Summary:**
The Project Administrator will be responsible for providing comprehensive administrative support to oil and gas projects, with a particular focus on the management of project documentation. This position requires proficiency in both Arabic and English, exceptional organizational capabilities, and prior experience with document management systems commonly utilized in large-scale engineering projects.
**Key Responsibilities:**
* **Project Administrative Support:**
* Manage and coordinate schedules, meetings, and travel arrangements for project personnel.
* Execute routine administrative duties to facilitate project operations.
* Develop and maintain structured systems for the organization of project records, databases, and files.
* Provide assistance with onboarding processes and general administrative support for both staff and contractors.
* Monitor document revisions and ensure the maintenance of comprehensive audit trails.
* Solicit feedback from project team members to identify opportunities for process enhancement.
* Translate documents from Arabic to English and prepare memoranda and correspondence in Arabic.
* **Document Control Support:**
* Establish and maintain a robust document control system encompassing all phases of the project lifecycle.
* Implement and enforce document control procedures and workflows, ensuring adherence to relevant standards.
* Manage document distribution, version control, and approval processes.
* Administer access permissions and oversee the change control process.
* Maintain and ensure the optimal functionality of the Electronic Document Management System (EDMS) platforms, including but not limited to ASSAI, PRODOM, WRENCH, and ACONEX.
* Conduct periodic audits to guarantee the accuracy and completeness of project documentation.
* Liaise with consultants to resolve any documentation or compliance-related issues.
* Provide training on established naming conventions and metadata standards.
* Generate document control reports and identify areas for potential improvement.
Skills:
10+ years of experience in the execution of major oil and gas projects
University degree in any discipline
High-level proficiency in Microsoft Office, especially Excel
Hands-on experience with Electronic Document Management Systems (EDMS) such as ASSAI, PRODOM, WRENCH, or ACONEX
Fluency in both English and Arabic languages (written and spoken)
Strong understanding of document control processes and quality standards
Familiarity with FEED phase documentation and control requirements
Experience in coordinating with external engineering consultants
Ability to audit, validate, and manage engineering documentation
Excellent organizational and administrative skills
Ability to work independently and handle multiple tasks under tight deadlines
