Job Description :

UMS is looking for an experienced Personal Assistant to provide personalized secretarial and administrative support to one of our technical directors. She will maintain an efficient and effective Executive Office via the distribution of internal and external mail, independent correspondence and up-to-date registry system as requested.Specifically, a Personal Assistant  Will Perform The Following Tasks To The Highest StandardsActing as a first point of contact: dealing with correspondence and phone calls.Managing diaries and organizing meetings & appointments.Following up the manager/executive’s important tasks and deadlines.Organizing events and conferences.Monitoring a reporting manager’s email and responding if required.Taking notes and writing minutes during meetings.Conducting any communications on behalf of a manager.Conducting or preparing any required researches.Typing, compiling and preparing reports, presentations and correspondence.Managing databases and filing systems.Implementing and maintaining procedures/administrative process.Liaising with staff, suppliers and clients.Collating and filing expenses.

Job Requirements :

5-8 years of experience as a Personal Assistant.Bachelor degree is a must.postgraduates diploma or related certificates will be an added advantage.Knowledge of office management systems and procedures.Outstanding organizational & MS Office proficiency.Ability to multitask and time management skills.Fluent English speaker.Excellent verbal and written communications skills.Discretion and confidentiality.
