Job Description:**General Summary:**

The PMO Executive provides support to the Project Management Office (PMO) in the oversight and coordination of project planning, execution, and monitoring throughout the organization. This role contributes to the maintenance of project finance and governance standards, the preparation of reports, the tracking of progress, and the assurance of compliance with project management frameworks. Furthermore, the PMO Executive serves as a central point of coordination among project stakeholders, facilitating the timely and scope-compliant delivery of projects in accordance with business objectives.

**Specific Responsibilities:**

* **IT Finance & Budget Management:** This includes tracking IT project budgets (CAPEX & OPEX) to ensure adherence to approved allocations, monitoring expenditure, identifying cost variances, highlighting potential financial risks or deviations, coordinating with IT Finance and vendors regarding invoice verification, processing, and payment follow-up, supporting annual IT budgeting activities, mid-year reviews, and exchange rate adjustments (e.g., USD rate changes), and consolidating and maintaining finance-related documentation for audit and reporting purposes.
* **Project Coordination (PMO Support):** This involves assisting the PMO in the planning, scheduling, and coordination of IT projects (e.g., ORCA, Hedwig, Beaver), maintaining comprehensive project documentation including timelines, progress reports, risk assessments, and action items, preparing governance materials such as business cases, project update presentations, and management briefings, facilitating project meetings and subsequent follow-up actions to ensure timely execution and accountability, and ensuring projects adhere to established PMO governance and reporting frameworks.
* **Governance & Compliance Support:** This encompasses ensuring all financial and project documentation complies with internal IT governance requirements, supporting the enforcement of project control standards, assisting in audit preparedness for IT initiatives, and supporting alignment with Group policies, approval workflows, and compliance frameworks.
* **Procurement & Legal Coordination:** This entails collaborating with Group Procurement on PR/PO processing, vendor registration, and adherence to procurement guidelines, liaising with Group Legal for reviews of contracts, NDAs, and agreements relevant to IT systems and services, and tracking and maintaining legal documentation to ensure renewals, timelines, and project dependencies are appropriately managed.

Skills:

Job Requirements

Bachelor’s degree in finance, Business Administration, IT, or a related field.
Min 5 years of experience in project coordination, finance support, or IT governance roles.
Solid understanding of budgeting, financial tracking, and procurement workflows.
Experience with governance and compliance frameworks within a corporate setting is an advantage.
Strong organizational skills and attention to detail in documentation and reporting.
Proficient in Microsoft Excel, PowerPoint, and general project tracking tools.
Good communication skills and the ability to work with cross-functional teams (IT, Finance, Legal, Procurement).
