Job Description :

Diary management – effectively organize Manager diary, ensuring that day runs smoothly (to plan) and Manager is made aware of the schedule.  Organisation of travel, accommodation (cost management of) appointments and meetings.Mail (post and e-mail) – vet, delegate and reply if necessary, on Manager’s behalf.  Manage in entirety in his absence.  Also highlight issues to Manager if necessaryRun brought forward system – chase up instructions given by the Manager and make sure actions are completedSecretarial service – typing of letters, minute taking on technical  subjects, and vetting of telephone calls.  Quality rather than quantity service.  Funnel anything that does not require personal contact from the Manager to ensure that the manager only focuses on what is required.Manage the office – reception of visitors, room allocation, post, invoices, lunches etcCustomer liaison – build up relationships with the stakeholders at all levels and become a reliable point of contact for them instead of them going direct to the manager all the time.Translation and interpreting all documents, meetings, …etc. from English  to Arabic and vice versa. Provide adminitrative support to team on site

Job Requirements :

Required skillsIdeally degree level or equivalent professional experienceRSA in shorthand and typingFluency in English LanguageVerbal and in writing Translation from Arabic to English and Vice VersaExpert proficiency with Microsoft OfficeStrong verbal and written communication skills.Exceptional organizational skills and impeccable attention to detail.Make appropriate, informed decisions regarding priorities and available time.Ability to complete a high volume of tasks and projects with little or no guidance.Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.High degree of professionalism in dealing with diverse groups of people, including senior executives, staff, Clients, and partners.Able to maintain a high level of integrity and discretion in handling confidential information.
