**Job Purpose:**
The Document Controller is responsible for the meticulous management and control of all project-related documentation, ensuring adherence to established company and project-specific procedures. This role necessitates maintaining accuracy, upholding quality standards, and ensuring the timely dissemination of documents to all relevant stakeholders.
**Key Responsibilities:**
1. **Document Control and Management:**
* Receive, meticulously log, and efficiently distribute all incoming and outgoing project documents, including correspondence, technical drawings, submittals, and invoices.
* Maintain a meticulously organized document control system, encompassing both physical and electronic archives, in accordance with prescribed project requirements.
* Ensure the proper filing, indexing, and ease of retrieval of all documents within the established system.
* Maintain and update comprehensive document registers, ensuring clear marking and tracking of all revisions.
2. **Coordination and Communication:**
* Collaborate effectively with engineers, consultants, and contractors to ensure the timely receipt and response to all submissions.
* Issue formal transmittals for the official distribution of documents to designated recipients.
* Proactively monitor and follow up on pending approvals and overdue submissions.
3. **Compliance and Quality Assurance:**
* Ensure strict adherence of all documents to project document control procedures and established company standards.
* Provide support in the preparation of comprehensive documentation for project handover, including as-built drawings and final record sets.
4. **Systems and Tools Management:**
* Utilize Electronic Document Management Systems (EDMS) such as Scenario and SharePoint for efficient document management.
* Maintain robust data backup protocols and safeguard document confidentiality and integrity.
5. **Administrative Support:**
* Prepare and maintain detailed logs, comprehensive reports, and concise correspondence summaries for management review.
**Qualifications & Requirements:**
* **Education:** Diploma or Bachelor’s Degree in Business Administration or a related field is required.
* **Experience:** A minimum of three (3) to five (5) years of experience as a Document Controller on construction projects is essential.
* **Knowledge:** Demonstrated familiarity with construction documentation practices, including drawings, submittals, Requests for Information (RFIs), and documentation management systems.
* **Skills:**
* Demonstrated strong organizational and time-management skills.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
* Exceptional attention to detail and accuracy.
* Excellent communication and coordination skills.
