Job Description

We are seeking a skilled and detail-oriented Document Controller to join our construction, project management team. As a Document Controller, you will be responsible for ensuring the efficient and organized management of all project-related documents, including drawings, contracts, permits, and correspondence. Your role will be crucial in maintaining accurate and up-to-date project

documentation, enabling effective communication and collaboration among project stakeholders. The ideal candidate has a strong understanding of construction project management processes, exceptional organizational skills, and the ability to work in a fast-paced environment.


  • Establish and implement document control processes and procedures for construction projects to ensure efficient and effective management of project documentation.
  • Receive, review, and distribute incoming documents, including drawings, specifications, contracts, and reports, to relevant project team members and stakeholders.
  • Maintain accurate and up-to-date electronic and physical filing systems for project documents, ensuring proper version control, document naming conventions, and document security.
  • Collaborate with project teams to establish document control requirements, including document numbering, distribution protocols, and document retention policies.
  • Coordinate and monitor document review and approval processes, ensuring timely and accurate feedback from stakeholders.
  • Monitor and track the progress of documents throughout their lifecycle, including creation, revision, review, approval, and distribution, using document control software or other designated systems.
  • Conduct regular audits of project documents to ensure compliance with established document control procedures and standards.
  • Generate and distribute document transmittals, including tracking logs and registers, to ensure the timely flow of information between project team members, contractors, and clients.
  • Assist project managers and team members in retrieving and retrieving project documents and information as needed.
  • Provide training and guidance to project team members on document control processes, tools, and best
  • practices.
  • Lead operate the site PMIS system and develop the training plan and deliver training to all site members
  • Lead and manage the agreed document management system & structure /customize to the site organization & client requirements
  • Support for Project Manager & Deputy Project Manage to maintain reporting system requirements and ensure project dashboard in PMIS system are regularly maintained
