Job Description

1.    Job Summary:

The document Controller is responsible of keeping track of important project documents like project plans, blueprints, vendor contracts and drawings; creating reports for construction managers; keeping documentation safe and backed up; and performing data entry tasks when project documents need updates.

2.    Duties and Responsibilities include but not limited to:

  1. Control the documents and data control activities / movements.
  2. Establish and Maintain a Centralized System for the control of company correspondence.
  3. Maintain up to date Database Register showing document details and revision status.
  4. Establish a Distribution Matrix for allocating controlled copies of documents as necessary to Company staff or Organizations (Client, Suppliers, etc.)
  5. Logging of all Correspondence, Drawings, Procedures, Standards, Specifications, Vendor Drawings, Purchase Orders, Data Sheets, Manuals, etc. and generate internal transmittal for internal circulation of the same.
  6. Check for accuracy and edit files such as contracts
  7. Review and update technical documents (e.g. manuals and workflows)
  8. Distribute project-related copies to internal teams
  9. Create templates and checklists for future use
  10. Retrieve files as requested by employees and clients
  11. Manage the flow of documentation within the organization
  12. Maintain confidentiality around sensitive information and terms of agreement
  13. Prepare ad-hoc reports on projects as needed

3. Required Qualifications:

3.1. Education Requirements

  • A Certification Degree or a Technical degree from a recognized institute with a minimum of three (3) years of related experience
  • Good oral and written communication skills in English

3.2. Experience Requirements

·        Minimum of three (3) years of experience as a document Controller.

Operational Skills

  • Familiarity with project management
  • Basic knowledge of labor and corporate law
  • Hands-on experience with MS Office and MS Excel
