Job Description :
Assist in planning and monitoring progress Assist in developing and implementing plans and goals for the department Assist in budgeting and monitoring expenses Follow-up, on a daily basis, with project partners, to guarantee smooth implementation of administrative and operational activities of the division projects & initiatives. Support the Executive Director in identifying areas of opportunity to achieve agreed upon KPI’s. Follow-up on the division staffing process (hiring, training, evaluating etc.) Meetings & Calendar Management Arranging as well as attending – BOD Meeting, and other meetings for MoM & follow up by ensuring that all appointments and meetings are confirmed, communicating effectively with the Executives and internal management when calendars change. Coordinates/assists with managing team meetings (staff meetings, quarterly on sites/off sites, team gatherings, etc.) whether virtual or in person; assists with event planning; processes related expenses. Maintain the highest level of discretion and confidentiality at all times for internal and external matters, and when interacting with high profile clients. Travel Planning & Management Optimizes travel arrangements (transportation, accommodations, agenda) based on executive travel needs and preferences; manages complex itineraries, to include any changes; processes related expenses Reports Management Conduct Research, create reports, and Presentations as well as analyses report to high light critical finding that requires Directors’ attention. Follow up on internal initiatives, client meetings, projects, and other matters requiring the Executive’s attention, always ensuring Executives has access to both hard and soft copies of all materials and reports needed for each engagement. Documentations and records management Assists in keeping executives and their teams well organized, to include online retrieval and archiving on collaboration platforms such as MS Teams and SharePoint, as well as supporting the Company’s records retention schedule.
