Job Purpose

The Administrator is a crucial member of our team, responsible for ensuring the smooth and efficient operation of daily activities within the organization. This role demands an individual who is highly organized, detail-oriented, and adept at multitasking in a fast-paced environment. A significant aspect of this position involves managing and coordinating travel arrangements for team members, alongside providing translation services as needed.

Job Responsibilities

  • Arrange all aspects of travel for team members, including flights, accommodation, ground transportation, and

itineraries.

  • Work closely with travel agencies and vendors to secure the best rates and accommodations.
  • Ensure compliance with the company’s travel policies and procedures.
  • Stay informed about travel advisories, visa requirements, and other travel-related updates.
  • Assist in resolving any travel-related issues that may arise, ensuring minimal disruption to the traveler’s

schedule.

  • Greet scheduled visitors and direct them to the appropriate area or person.
  • Coordinate and arrange internal and external meetings, prepare agendas and minutes of meetings.
  • Work closely with the Office Coordinators to ensure the seamless delivery of services to and from the division’s

projects.

  • Draft or compose routine correspondence to include sales proposals, presentations, and general advertising

support to other department.

  • Organise and maintain file systems, and e-files correspondence, invoices and other records.
  • Make copies of correspondence or other printed materials.
  • Prepare outgoing mail and correspondence, including e-mail and faxes.
  • Take and transcribe dictation in English and/or Arabic, and compose and prepare confidential correspondence,

reports, and other complex documents when necessary.

  • Create and maintain database and spreadsheet files.
  • Carry out related task as assigned from time to time.
